Job Summary:

Altus Group is currently hiring an Administrative Assistant to work within the Toronto based Development Advisory unit. In this role, you will be supporting the Cost Planning team members with their business development, technical delivery and administrative needs. Key Responsibilities:

  • Assist managers with the day-to-day tracking of projects in our resource management tool including assigned staff and maintain tracking of deadlines. We currently use a web-based software for this.

  • Project set up process: including project number request, set up folders, import drawings into estimating software (training will be provided, no previous knowledge required) and update resource chart.

  • Assist the team with document control, especially on the larger mandates; maintain log of document for reports within the estimating software.

  • Occasionally support project leads in mandate delivery which may involve assisting with report writing / formatting.

  • Assist the proposal team with managing & update and prepare team project profiles and resumes for the Cost Planning key staff.

  • Develop and manage tracking sheet for monthly billing memos & reports issued to assist manager with monthly invoicing process.

  • Assist, develop and support PowerPoint presentations for sales or market update purposes.

  • Assist the Management team with occasional research on possible clients and contact information for procurement purposes.

  • Basic data entry and occasional product research to support the CP team.

  • Take a leadership role in ensuring compliance with. public sector agencies’ requirements, including researching guidelines and regulations, being informed of process changes, ensuring that processes are renewed each year (where required), partaking in meetings with clients and internal staff to discuss possible requirements for these processes.

  • General scheduling activities for the team e.g., managing calendars, meeting scheduling, booking lunches etc.

  • Other admin duties as required.

Key Requirements:

  • Education in office administration will be considered an asset

  • Work-related office/clerical experience will be considered an asset

  • Proficient in MS Office Suite, including Teams, SharePoint/OneDrive, Word, Excel, PowerPoint , and Outlook

  • Excellent attention to detail and accuracy with data entry

  • Detail oriented with strong organizational skills

  • Ability to prioritize and meet deadlines

  • Excellent time management skills

  • Familiarity with General Office Equipment

  • Excellent oral and written communication skills

  • Able to work both individually and within a team environment

  • Strong sense of integrity and accountability
